These terms are the agreement between your church and Phyle for using hosted Phyle. We've written them to be read, not skimmed past.
Who we are
Phyle is church management software that Phyle ("we", "us") hosts and runs for churches and ministries ("you") at phyle.org. By creating an account or using Phyle, you agree to these terms on behalf of your church. If you're signing up for a church, you confirm you're allowed to do that.
What we provide
Phyle lets your church keep records of people and households, run groups, events, check-in and serving schedules, follow up on care, record and receive gifts, send email and text messages, and give members a portal of their own. We host it, keep it up to date, back it up and look after its security.
Your account
- You choose who in your church gets a login and what role they have. You're responsible for what happens under your church's account.
- Keep passwords private, and tell us straight away at [email protected] if you think someone has got in who shouldn't have.
- Phyle is for churches, ministries and similar organizations, and for people aged 18 or over to sign in to the team side. Children's records are kept by your church; children don't hold accounts.
Plans and billing
- Phyle is sold by monthly or yearly subscription. Our prices are listed on our pricing section, in US dollars.
- Paid plans are charged by card at the start of each monthly or yearly period and renew automatically until you cancel. There are no contracts and no setup fees.
- We don't charge for text messages. If your church sends texts, they go through your church's own Twilio account, and Twilio bills you directly at its rates.
- Prices don't include taxes. Where tax applies, it's added to the charge.
- Plan limits count active people: everyone in your account who isn't marked inactive or removed.
- If your church grows past its plan's limit, we'll tell you and you can move to the plan that fits. We'll never move you to a higher price without asking.
- If we change our prices, we'll tell you at least 30 days before the change reaches your bill.
- If a payment fails, we'll let you know and try again. If it still can't be collected after 14 days, we may pause the account until it's settled. Your data is kept safe while paused.
Cancelling and refunds
You can cancel at any time from your account or by writing to us. Your church keeps full access until the end of the period you've paid for, and isn't charged again. If you ask within 14 days of your first charge, we refund it in full. The details are in our refund and cancellation policy.
Your church's data
- Everything your church puts into Phyle belongs to your church. You give us permission to store and process it only so we can run Phyle for you.
- You can export your people, households, groups and giving records at any time.
- We never sell your data, and never use it for advertising.
- Information about children is used only for check-in and keeping them safe.
- You're responsible for having the right to keep the information you add, and for using it in line with the law and your own church's policies.
How we handle personal information is described in our privacy policy.
Online giving and text messages
Online giving runs through your church's own account with Stripe. Gifts are paid by Stripe straight to your church, under Stripe's terms and at Stripe's rates; Phyle never holds the money and adds no fee to gifts. Your church is responsible for its gifts, refunds to givers, and giving statements and receipts.
Text messages are sent through your church's own Twilio account, under Twilio's terms and at Twilio's rates. Only send texts to people who have agreed to hear from your church. Phyle honors replies asking to stop, and you agree not to work around that.
Fair use
Please don't use Phyle to send spam, to break the law, to harass anyone, to store information you have no right to, or to try to get into other churches' accounts or disrupt the service. If an account does, we may suspend it, and we'll tell you why.
Keeping Phyle running
We work hard to keep Phyle available and your data safe, and we keep regular backups. We sometimes need short maintenance windows, and we try to schedule them away from Sunday mornings. We improve Phyle all the time; if we ever remove something important to how your church uses it, we'll tell you first.
If you or we end the agreement
You can stop using Phyle whenever you like by cancelling. We may end the agreement with 30 days' notice, or straight away if an account seriously breaks these terms. Either way, you'll have the chance to export your data, and we delete it within 60 days after the account closes, apart from records we must keep by law, such as invoices.
The legal part
Phyle is provided "as is". To the extent the law allows, we don't promise it will be free of every error or interruption, and we aren't liable for indirect or consequential losses, such as lost donations or lost data you could have exported. Our total liability for any claim is limited to what your church paid us in the 12 months before the claim. Nothing in these terms limits a right the law doesn't allow us to limit.
These terms are governed by the laws of the State of Tennessee, in the United States.
Changes to these terms
If we change these terms, we'll update the date at the top of this page, and we'll email account administrators about any change that matters at least 30 days before it takes effect.
